DUTIES & RESPONSIBILITIES:
• Assist the Chief Executive Officer and Chief Operating Officer in a staff capacity by coordinating activities of the Chief Executive Officer and Chief Operating Officer. Schedule appointments, act as official liaison when necessary internally and externally. Maintain records of appointments and meetings and prepare necessary information for both officers. See that corporate office mail is opened, previewed, and sorted appropriately.
• Act as Board Liaison for all Board functions. Attend Catholic Charities governing Board and all related Committee meetings and act as recording secretary; prepare minutes of meetings, coordinate material submitted to Board members, and insure Board members are notified of upcoming meetings. Track and advise the Chief Executive Officer of material approved for submission to the Catholic Charities’ Board.
• Oversee support staff in order to accomplish the necessary administrative tasks that meet the needs of officers and directors of the Administrative Service Center. Coordinate workload assignments.
• Act as custodian of corporate documents and records for historical purposes and make them readily available for reference. See that filing is up to date at all times and maintain work area in good order so that professionalism is evident.
• Compile materials for reports and questionnaires, insuring complete inclusion of materials, its accuracy in development and placement as per instructions received for each project. Keep and retrieve statistical records and other management data appropriate for such reports, using computer.
• Organize, collect and maintain all pertinent management meeting material, as well as related data, in order to keep Chief Executive Officer informed and up to date on pending management and Board activities, or for action as required. Coordinate development and timely distribution of agenda for Management Team meetings.
• Manage all external communication for the Chief Executive Officer and Chief Operating Officer. Prepare routine correspondence, work with both officers to prepare and distribute official correspondence. Monitor and initiate routine congratulations, sympathy, and thank you notes.
• Coordinate all support activity to management team, its primary and ad hoc committees, in the performance of their "team" tasks.
• Arrange facilities for all Chief Executive Officer and Chief Operating Officer- hosted meetings, assures proper meeting environment, refreshments, and availability of materials.
• Maintain records of appointments and meetings and prepares necessary information for Chief Executive Officer. Maintain a chronology of Chief Executive Officer’s activities as a matter of record and keep a variety of files for administrative use.
• Assist the Chief Executive Officer in any way possible to relieve the Chief Executive Officer and Chief Operating Officer from routine administrative tasks, performing a variety of job-related functions such as arranging for petty cash, preparation of check requests and other tasks deemed necessary or as assigned. Keep Chief Executive Officer and Chief Operating Officer informed in all areas regarding progress and/or problems.
QUALIFICATIONS/REQUIREMENTS:
• Must have demonstrated proficiency with Microsoft Office including Outlook, Excel, Power Point, Word and Windows.
• Must know administrative and clerical procedures and techniques and be able to communicate effectively and tactfully with people of varying backgrounds
• Must have ability to exercise judgment and maintain confidentiality on a wide spectrum of activity.
• Must have superior writing skills, ability to document complex staff and board committee meetings in taking of minutes.
• Must have excellent communication skills, the ability to handle multiple tasks, work independently, problem solve and be detail oriented.
• Requires a minimum of a bachelor’s degree with experience supervising others.
• Must have a minimum of 5 years of experience in progressively responsible positions working with senior executives and boards and a good sense of humor.
